Crew Smart ("the app," "we," "us") helps flight crew find food and manage their schedule during layovers. This page explains what information the app collects, why, and what control you have over it.
Crew Smart is made by Yaw Works LLC and is not affiliated with, endorsed by, or operated on behalf of any airline.
The short version: we collect what the app needs to do its job, which is your schedule, your location, your food preferences, and whatever you choose to post or send to other crew. We do not sell your data, we do not run ads, and there is no third-party advertising or analytics tracking in the app at all. You can delete your account, and everything above with it, from inside Settings.
When you import a roster, from a calendar file or your phone's calendar, the app stores your trips and layovers: station codes, arrival and departure times, reserve blocks, and, where known, the hotel you are staying at. This is what lets the app tell you what is open near tonight's hotel before you land.
With your permission, the app uses your phone's location to find food near you, to work out which hotel you are actually at, and to notice when a real schedule change, a reroute or a diversion, means your trip needs correcting. This is precise location, and it is collected only while you are using the app. It is never shared with other crew and never shown publicly. If you decline it, you can enter a station by hand and everything else still works.
The app works immediately with an anonymous account tied to your device rather than to you. If you sign in with Apple or Google, we store the identifier and display name that provider shares, so your data follows you to a new device. Anything social, meaning friends, messages, posts and dating, requires a real sign-in.
A display name, a handle, a short bio, your role, your base, your airline, and one profile photo. Other signed-in crew can see these. You can also add a phone number so people who have it can find you; it is stored in a form only our servers can search, is never shown to anybody, and you can remove it.
What you write in the crew feeds is stored and shown to other crew. Posts are permanent until you delete them. Messages you send are stored so the person you sent them to can read them. Ratings, reviews, Must Try votes and reported discounts are stored and shown to other crew, which is the point of a crew-sourced app.
Dating is off unless you choose it. If you turn it on we store your dating profile, your dating photos, your prompt answers, who you have liked or passed on, and your matches.
We also store your gender and who you want to meet. Together these can reveal something about your sexual orientation, which the law treats as a special category of personal data. So we ask for your explicit agreement before storing them, we use them only to decide whose profile appears in whose deck, and we never display either on your profile. Deleting your dating profile deletes both. You can withdraw that agreement at any time by deleting your dating profile.
Dating requires proof that you are crew. If you send a photograph of your crew ID badge, a person reviews it and it is then deleted. It is never shown to another user, and it is deleted whether you are approved or not. If you delete your account while a check is still pending, the photograph goes with it.
If you buy Crew Smart Pro, our payments provider records that you have an active subscription and which plan. We never see or store your card details; Apple and Google handle payment, and we are only told whether your subscription is active.
If you report somebody, we store the report, the reason, the content complained about, and who reported whom. See "one thing we keep" below.
If you allow notifications, we register a device token so we can send you your arrival food plan, a reminder to re-import your schedule, a new message, or a reply to something you posted. You can turn notifications off at any time in your phone's settings.
The app records technical events, for instance that an import ran and how many trips it found, so failures can be diagnosed. These are tied to your account and are not shared with anyone.
Every photo uploaded to a profile is checked automatically by Google Cloud Vision before anyone else can see it, and a flagged photo is looked at by a person. Posts and messages are checked against a list of terms that are not allowed anywhere in the app, and anything matching is removed. This is the only automated system that looks at your content, and it exists so that what other crew see is not somebody's abuse.
We use a small number of service providers to run the app. None of them may use your information for their own purposes.

We do not sell your information, we do not share it for advertising, and the app contains no third-party advertising or analytics tracking.
Crew Smart is operated from the United States and your information is stored on Google Cloud servers in the United States. If you use the app from outside the US, using it means your information is transferred there.
Your trips, profile, messages and preferences are kept until you delete them or delete your account. Posts and replies are permanent until you delete them, which is a deliberate choice: a feed where answers disappear is not much use to the person who searches it next month. Crew ID badge photographs are deleted as soon as they are reviewed. Diagnostics are pruned automatically.
Open Settings, then Account, then Delete my account. It happens straight away and does not require asking us. Full detail of what goes is on the deletion page, including what to do if you no longer have the app installed.
One thing we keep. If somebody reported you, or you reported somebody, that report stays after an account is deleted. A report is another person's account of being harmed, and deleting your account should not be a way to erase it. We keep these to handle safety complaints and to bring or defend legal claims, which is permitted under Article 17(3) of the GDPR. A report holds the content complained about and the accounts involved, and nothing else.
Wherever you live, you can ask us to give you a copy of your information, correct it, or delete it, and you can object to how we use it. Most of this is faster from inside the app, and for anything else write to privacy@crewsmart.org. We do not charge for this and we will not treat you differently for asking.
If you are in the UK or the EU: our lawful basis is performing the service you asked for, for your schedule, food and account; your consent, for location, notifications, and the dating fields described above, each of which you can withdraw; and our legitimate interest in keeping the app safe, for moderation and reports. You can complain to your data protection authority.
If you are in California, Texas, or another US state with a privacy law: we do not sell your personal information and we do not share it for cross-context behavioural advertising. Precise location and, for anyone who turns dating on, the fields described above, are treated as sensitive personal information and are only collected with your consent.
Crew Smart is for people aged 18 and over. It is built for working flight crew and is not directed at children. We do not knowingly collect information from anyone under 18, and if we learn an account belongs to somebody under 18 we will close it and delete it. If you believe a child is using the app, write to privacy@crewsmart.org.
If we make a meaningful change to how the app handles your information, we will update this page, change the date at the top, and tell you in the app.
